Email Hosting Options

If you are interested in email hosting options along with your website hosting, Creative Technology Corp can help with more than 20 years experience in a wide range of company sizes and environments.

Security must be the paramount consideration to maintain consistent service, minimize spam, and to safeguard your company's image.

There are several ways that you can have your email set up.  Each method has pros and cons that need to be weighed against your organization’s priorities for email security and stability. We recommend option 3 below for security and reliability.


Email Options    
Combined Same Provider Outsourced


Option 1 – Combined Web and Email Hosting

This option is one of the least common, and least-secure methods available.  While this is very easy to set up, the fact that two very different services (web hosting and email hosting) are on the same machine can result in problems with one service impacting another.  Web service is interactive – that is to say that the end user needs the web server online to be able to use the web site.

Creative Technology does not utilize this option due to the high likelihood of malicious activity and interference with both web and email traffic.  Since security and reliability are key, we contract with a third party email provider which we manage for email hosting.  We still provide all administration of the email service.

Pros:

  • Easy to set up for webhost
  • Requires no additional hardware

Cons:

  • Very insecure, bad practice
  • Email becomes a secondary priority on the server, longer email delivery times
  • Additional chance of being blacklisted due to lack of professional blacklist monitoring
  • Software-only spam prevention tools are less effective
  • Spam prevention tools are provided small email sample size which provides low confidence rate in identification of spam emails.
  • Requires additional protection from malicious files and denial-of-service attacks
  • No redundancy to ensure reliability of email service
  • Mail server requires a significant amount of administration time

Option 2 –Web and Email Hosting At Same Provider

This option is less common, and slightly more secure compared with the first option.  This option is more complicated to set up, requires purchase of expensive filtering hardware, and is generally a better option for sites with extremely high volume for which outsourcing does not make sense.

Creative Technology does not utilize this option due to the low value proposition to our customers.  This would require an additional monthly cost significantly higher than our current web hosting cost due to the additional hardware and administration time of such a service.

  • Email hardware is dedicated, leading to better delivery times
  • Web files and database are separate, leading to a more secure environment

Cons:

  • Requires purchase of expensive hardware
  • Additional chance of being blacklisted due to lack of professional blacklist monitoring
  • Requires additional protection from malicious files and denial-of-service attacks
  • No redundancy to ensure reliability of email service
  • Mail server requires a significant amount of administration time

Option 3 – Email Outsourced

This option is the most common option for small to medium sized business.  Because the email services are outsourced to a company that has a huge amount of resources to spend on making sure their product is working correctly, they are subject matter experts.  They can constantly monitor email blacklists and have the community presence to request blacklist removal from third parties.  Because their spam hardware has a large volume of traffic, it is significantly more accurate at picking out which messages are spam, and which are legitimate.

Creative Technology has used our current third party email provider since 2009.  We have not experienced any downtime from the provider, and nearly all spam is detected properly.  The service is provided at a reasonable monthly cost, and provides peace of mind that subject matter experts are working to ensure our services are working 24 x 7 x 365.

  • Web files and database are separate, leading to a more secure environment
  • Relatively low monthly cost
  • Professional blacklist monitoring
  • Redundancy throughout the email infrastructure

  • Introduces an additional billing party
  • Requires a one-time manual DNS change
